Job Description

Responsibilities

Inventory Management and Pricing

  • Manage parts inventory and investment within established stocking policies and inventory levels, including purchasing, stocking, and pricing, and capture lost sales to keep the right parts on the shelf.
  • Review aged inventory monthly and manage obsolescence by returning, transferring, or selling slow-moving parts before they lose value.
  • Manage OEM programs affecting inventory, including return privileges, stocking allowances, core returns, and warranty parts policy.

Pricing and Gross

  • Set wholesale pricing tier structure and account-level pricing with a true read on wholesale profitability after delivery cost, discount, and returns.
  • Price parts into the service maintenance menus in partnership with Service, keeping menu pricing competitive and profitable as parts costs change.
  • Manage the department's financial performance, including gross profit margins, sales, personnel and operating expenses, and net profit against monthly forecasts and budget.
  • Review the parts department financial statement each month.

Service Support and Leadership

  • Support the service drive with parts availability that keeps technicians turning hours, and own the special order process end to end: ordering, notification, customer contact, aging, and disposition.
  • Hire, train, and develop counter staff and drivers; set productivity and response-time standards and build a bench so the department is not dependent on one person.

Accounting and Reconciliation

  • Code factory and vendor parts invoices to the correct general ledger accounts and submit them to Accounting on schedule, ensuring purchases, credits, core and warranty returns, and freight post accurately and in the correct period.
  • Complete the monthly parts reconciliation, ensuring all invoices are accurately coded and submitted to the accounting office, and that all packing slips, invoices, and supporting documentation are accounted for, organized, and submitted before month-end close.

Controls and Compliance

  • Maintain internal controls and inventory data integrity, including receiving verification, invoice matching, return authorization, physical inventory execution and variance accountability, and correction of no-bin, negative on-hand, and billed-not-received conditions.
  • Ensure compliance with hazardous materials handling and shipping requirements, OSHA material-handling standards, EPA core and fluid storage requirements, and OEM warranty parts retention to audit standard.

Requirements

  • 5+ years of automotive dealership parts experience
  • 2+ years as a Parts Manager or Assistant Parts Manager
  • Working knowledge of a dealership DMS (CDK, Reynolds & Reynolds, Dealertrack, or similar)
  • Track record of hiring, training, and holding a counter team accountable
  • Valid driver's license and clean driving record
